access CINEMA invites applications for the following position

Administrative Assistant (Part-time)

access CINEMA is a resource organisation for regional cultural cinema exhibition. It works with film societies and arts centres throughout Ireland to support significant and innovative regional cultural cinema programming. Our members exist in many different venues and screen on two formats 35mm and DVD. access CINEMA is supported by the Arts Council/ An Chomhairle Ealaíon.

The above vacancy would suit applicants with a background in administration looking for a part time position or applicants interested in a career in film exhibition and distribution and looking for an entry level position.

Job Description

The main responsibilities of the position are:

Film Despatch

Co-ordinating the efficient and orderly dispatch of both 35mm and DVDs to member groups. This will involve:

scheduling couriers
creating despatch notes and labels for venues
labelling and taping up 35mm boxes
labelling and registering DVD Swiftpost envelopes
annotating and checking invoices with Manager when necessary
updating film bookings database

Promotional material

Responding to and later dispatching publicity material to member groups and venues. This will involve:

ordering and sending out posters, trailers and stills
maintaining files containing reviews and synopses
sourcing and filing reviews and images of individual films
emailing images and reviews to member groups and venues

Assisting Manager and Director when necessary

General Administration:

answering the phone
dealing with queries from member groups and the general public
assisting with general day-to-day office duties
other duties which may from time to time be necessary in the administration of the company
keeping in good condition the office equipment, including computers, etc

Applicant Profile

Essential:

Good organisation and administrative skills
Excellent communication skills and computer literacy
Ability to pay attention to detail as well as juggle different tasks
Self-motivating and ability to work on own initiative
Previous experience in the Arts or film related activity desirable but not essential

Timescale:

The contract is offered on a part-time - 20 hours per week - contract basis from mid-September 2003 to mid April 2004.

Salary scale: €200.00 per week
